Customer success teams

Never lose an account because the champion changed jobs.

Champion tracking software.

Name the champion once. Their public profile is re-checked every 7 days, a suspected departure is confirmed 48 hours later, and the alert names the account and the ARR behind it.

What GainTrace does

How does GainTrace catch a champion leaving?

From Profile Change To The Owner's Task In About Nine Days

Naming a champion stores the exact position that ties them to that customer: the LinkedIn company id, the company slug and the normalised company name.

See Every Company With Nobody In Your Corner

Coverage gaps is a live query over today's data, not a list anyone maintains: every company that has an owner but no Champion and no Executive sponsor, plus every company whose tracked champion is confirmed gone.

Monitoring That Tells You When It Stops

The one real failure mode of watching a profile is that the watching quietly stops, so GainTrace makes it a state on the row instead of a silence.

The job

How does GainTrace help CS teams keep their champions?

From Profile Change To The Owner's Task In About Nine Days

  • Every tracked profile is re-checked every 7 days, on a schedule nobody maintains.
  • Anchor employer gone: the row flips to Confirming and we look again 48 hours later.
  • A profile with zero current positions is called inconclusive, never a departure.
  • Confirmed: a task on the owner, the company back in the queue, and a critical signal while that signal is on.

The alert: your champion changed jobs

Example

7 day re-check, 48 hour confirm, then the alert

See Every Company With Nobody In Your Corner

  • Confirmed departures rank first, then every gap by ARR, so nothing expensive hides on page four.
  • 50 rows a page with the true total count, not the size of the page you can see.
  • Bulk assign creates one 'Name a champion at X' task per company, due in 7 days.
  • Name a champion and the row clears itself. It is a live query, not a task list.

Coverage gaps, ranked by ARR

Example

One queue. Departures first, then every gap by ARR.

Monitoring That Tells You When It Stops

  • Five failed lookups in a row shows Not checking, with the failure count on the row.
  • If profile checks are not running, a banner says it plainly: champions saved, no profile ever checked.
  • Champion argues for you daily. Executive sponsor holds the budget and signs the renewal.
  • Setup is one LinkedIn URL per champion. No admin, no field mapping, no rules to write.

Six monitor states, and the one that says it stopped

Example

Six monitor states, from Watching to Not checking.

Common questions about champion tracking

Ordered by how often it comes up.

Our current platform already has sponsor tracking. Why would this work when that never did?

GainTrace makes the departure check a single comparison you can audit, and makes a stopped check visible. When you name a champion, GainTrace stores the exact position that ties them to that customer, the company's LinkedIn id, its page slug and its plain-text name, as an anchor on the monitor row.

Our CRM contact data is out of date. Doesn't that make all of this wrong?

The departure test never reads your CRM. The anchor comes from the champion's own profile at the moment you name them, and every check compares that profile against the anchor, so a stale CRM field cannot produce or suppress a departure.

We have the same person sitting on five different contact records. Which one gets watched?

Exactly one. A unique index on the contact means a person can carry only one champion monitor in GainTrace, and re-saving a profile refreshes that monitor instead of creating a second one.

Does this need a CS Ops admin to keep it current, and how do I justify it with no results to point at?

Nothing has to be configured before it works. You paste a LinkedIn profile URL on a contact, it verifies, and the 7-day check starts: no rules to author, no scoring model, no field mapping. The settings that exist are optional defaults you can leave alone.

Is champion tracking a paid add-on?

No. Champion tracking is included in GainTrace's base plan on every band, and the number of champions you can watch equals the number of companies your band covers: 100 companies at $99 a month is 100 tracked champions, 2,500 at $999 is 2,500.

How long after my champion changes jobs do I actually hear about it?

GainTrace sees a job change once the champion's public LinkedIn profile stops listing your customer as their employer, and the confirmed departure reaches the account owner within roughly nine days of that.

Does any of this work if Sales, Support and every CSM don't keep it updated?

Once a champion is named, nobody logs anything. The check is a scheduled job, and the coverage queue is a live query over current data rather than a task table, so it corrects itself the moment someone names a champion and it reports the true total instead of a truncated first page.

What actually leaves our workspace for this, and where does the data live?

One thing leaves: the champion's public LinkedIn profile URL, sent to the profile lookup provider as a URL in a request. No account names, no emails, no CRM records and no usage data travel with it.
